Cisco WebEx - Set-Up Guide

This article covers action steps for staff and faculty upon their enrollment in the new phone system including accessing Webex for the first time, how to call out, accessing common settings, setting their voicemail pin, and adjusting voicemail settings.

Sign Into Webex

1) Locate the Webex shortcut on your desktop and double click to open the application.

2) Enter your starid@minnstate.edu email address and click next.

3) You have now logged into Cisco WebEx

How to Make Calls

1) To make a call outside the organization, you can just dial the number on the key pad. NOTE: You no longer need to dial 9 first. To make a call inside of the organization, start typing their name in the box about the keypad and click the audio or video button next to their name.

 

2) On the left side of the window, you will see your call history.

Check Your Voicemail

1) You can click on different tabs of the navigation bar to access different tools. These include, in order, messaging, teams, contacts, calling, voicemail, calendar and personal insights.

 

2) Click on the voicemail or   symbol. You will see any voicemails in the window directly to the right of the tabs where your call history was.

3) To listen to a voicemail, click on the voicemail and click the play button. You can call the individual back by clicking on the green audio or video buttons.

 

Set Your Voicemail PIN

1) Click on this link https://settings.webex.com or copy and paste it into an Internet window. 

2) Enter your StarID@Minnstate.edu if prompted and click sign in.

3) Click Reset Voicemail PIN

4) Enter in your new pin in both boxes following the requirements listed. Then hit save.

 

Call Forwarding Settings (Optional)

1) On the same webpage ( https://settings.webex.com), click on the Webex Calling tab.

2) Click on voicemail settings.

3) Scroll through and adjust the settings as needed.

  1. The Voicemail Service section dictates when callers are sent to voicemail.

  1. Leave the message storage on its default option.
  2. You can turn notifications on if you wish, you can also check the box to have Webex attach any new voicemails in an email and send them to you. 

  1. Leave the press 0 to transfer on the default
  1. The greetings section will allow you to change your voicemail message (if you have a pre-recorded message) and the number of rings before it goes to voicemail.  
    1. Click save to save your settings.

 

 

Record Your Personal Voicemail Greeting (Optional)

1) In the Webex app, click on the voicemail    tab.

2) Click on the call voicemail symbol  , enter the pin you created, and press the (#) key.

 

3) Press 1 to access your voicemail box

4) Press 2 to change the busy greeting and/or Press 3 to change your no answer greeting

5) Record after the tone and then press the (#) key. You will be given options to listen back and re-record if necessary.

6) Hang up when finished!
